Spring Release 2025
Brex has launched Spring Release 2025, introducing custom fields that bring your own data into Brex, custom roles with granular user permissions, and a new AI policy engine that can make any rule a reality. Plus a new home page, invoicing, and much more.

Custom Fields
- Brex now enables Custom User and Accounting Fields, allowing you to import and apply custom employee attributes from HR systems like Workday, Rippling, Paylocity, and more. These fields enhance spend controls, approvals, and reporting across the platform.
- Streamlined integrations: Bring HRIS, ERP, and other custom fields into Brex to customize approvals, spend limits, and reporting.
- Enhanced automation: Configure these fields in Expense Policies, Accounting Rules, and Approval Chains.
- Improved visibility: Filter reports and searches by User fields for precise data insights.
- Additionally, admins can now efficiently update employee data with CSV Import for User and Accounting Fields. This feature allows bulk uploads of custom User fields, ensuring smooth data management.

Fields Library
- Introducing the Fields Library, a centralized location for managing all fields across HRIS, ERP, and Brex.

Custom Roles (Premium+, Early Access)
- Take control of admin permissions with Custom Roles. Now, you can create, manage, and assign admin roles with precise access controls, moving beyond default roles like Card Admin and Bookkeeper. This feature ensures that each user gets exactly the permissions they need.

Policy Engine (Early Access)
- Enhancements will enable customers to begin managing policies quickly, with minimal setup, and added flexibility with If That Then This statements in the new Policy Builder.
Improved Essentials Onboarding (Essentials only)
- New Essentials customers will have multiple options to get started with pre-configured default policies that are ready to be tailored to meet their needs. Learn more about it here.
Admin Home
- New homepage for customers: We are introducing a new Admin Homepage for all Brex Admins. Admin Home will enable admins to view important company metrics, check account and credit balances, and access commonly used shortcuts.
Invoicing for Brex Business Account
- Invoice Payment Links: Recipients of an invoice can now pay directly from a payment link within their email inbox. Learn more about it here.
- Automated Email Reminders: Customers now no longer need to worry about manually following up on invoices, as they can set up automated email reminders to recipients. Learn more about it here.
- Recurring Invoice Setup: We are introducing additional settings, allowing customers to automatically create and send invoices on a recurring basis. Learn more about it here.
- Auto-Payment Status: We are making it easier to track a status of invoices by introducing auto-reconciliation of payments. If the recipient includes a memo in their ACH or wire payment, the status of the invoice will be updated automatically. Learn more about it here.
- Updated Brex Business Account Tables: Easily manage your invoices via additional filters and custom columns.
- And more: In addition to the items above, customers will now also be able to attach PDFs to invoices, add PO numbers, and allow AP clerks to support with invoices.
Enhanced Bill Pay Features
- Bulk Approvals: Handle approvals for bills in bulk. Learn more about it here.
- Rule-Based Bill Pay Approvals (Early Access): Enhanced approval automation allows customers to craft approval workflows based on various criteria to tailor their processes for their unique use cases.
Vendor Tax Automation
- New vendor portal features to support collecting and managing key tax information.
- Vendor 1099 Export - Users can identify vendors as 1099-eligible, and export vendor tax information and spend data for tax accounting, or 3rd party 1099 producers.
- Vendor w9 LLMs scanning - Users will be able to upload W9 files wherever they would provide W9 information, and Brex will leverage our computer vision / LLM tools to extract information for them.

Reimbursements as Vendor Bills
- Brex now allows reimbursements to be exported as vendor bills, offering greater control over transaction presentation in ERPs like NetSuite and QuickBooks Online.
- Automated vendor mapping: Match employees as vendors for streamlined reporting.
- Accurate financial records: Ensure reimbursement statuses update automatically.
- Easier invoicing for QuickBooks Online: Keep track of billable expenses submitted by employees, making it easier to invoice them in QuickBooks Online.

Sage Intacct Bill Pay Support
- Customers can auto-sync bill information from Brex Bill Pay directly into their Sage Intacct. Learn more about it here.
Global Expansion
- With the expansion of our global capabilities to India and Israel, you can now easily repay employee reimbursements in local currency. This feature is in early access. Additionally, automate card payments from local bank accounts in Australia, and pay card bills directly in local currency in South Africa, the UAE, and Israel.
Accounting Accruals (Premium+)
- Ensure a seamless month-end close with enhanced Spender Preparation & Accruals for ERP Systems.
- Flexible workflows: Spenders can edit accounting fields during the Accounting Review stage, including expense categories and VAT.
- Accurate expense tracking: Prepare and export accruals as auto-reversing journal entries.
- ERP compatibility: Supports NetSuite, QuickBooks Online, Sage Intacct, Oracle Fusion, and Workday Financials.
- Improved accuracy: Admins are notified of changes before export.

Xero Integration Enhancements
- Simplify accounting with a more robust Xero integration. Users can now access powerful new capabilities, including accounting exports, bank feeds, and bill pay.
- Automated upgrade: Existing customers will be auto-migrated, unlocking enhanced functionality.
- Enhanced accounting exports: Streamline reconciliation with improved data accuracy and reporting.
- Automated bank feeds: Keep your records up to date with real-time transaction syncing.
- Bill pay integration: Manage vendor payments directly within Xero for a smoother workflow.

Embedded: Brex for NetSuite (Early Access)
- Embedded NetSuite: We are introducing the ability to upload bills or invoices into NetSuite, gather approvals in NetSuite, and initiate Brex card payments for those invoices within NetSuite Accounts Payable. Learn more about Brex for NetSuite here.
Embedded: BrexPay for Navan
- Physical Cards for Navan: Customers can now create and manage physical Brex cards within Navan for employees. These cards will enforce Navan policy. Previously, BrexPay for Navan only supported central travel payments. Learn more about it here.
Embedded: Brex for GEP
- Customers can now pay vendor bills with Brex cards, directly within GEP and SAP Taulia (coming soon), allowing you to seamlessly integrate Brex virtual cards into their procurement workflows, enabling secure vendor payments, maximizing rewards, optimizing credit, improving cash flow, and achieving 100% reconciliation.
Continuous Card Improvements
- Card Activity Log: Admins and cardholders can now view a card’s activity log, which lists events such as when the card was issued, when it was activated, if/when it had a PIN assigned to it, and locking or unlocking history. Each action will also list the name of the user who carried it out. Learn more about it here.
- Spend Continuity: With this release, customers can now also replace an existing card or order a physical card for an existing virtual card while keeping the same card number. This will improve the experience of replacing cards without having to update vendors with the new card number. Learn more about it here.
Wallet Updates
- We’re making a small update to your Wallet page! These changes are mostly visual improvements, but here’s what’s new: If you only have one spend limit, the 'Switch Limit' option will no longer appear. The spend limits selection will now only show limits you own, but you can still search for others. Plus, we’ve made some copy updates to the filters.
Smart Search Updates
- You can now use the search bar in your dashboard to search through your banking accounts, transactions/invoices and quickly access account information like routing number or wire instructions. Learn more about it here.
Auto-Transfers
- Customers can set up automatic deposits from any external bank account or for transfers between checking, treasury, and vault based on a specific threshold. This allows you to easily manage operating cash across your accounts. Learn more about it here.
Travel Initiatives
- Book with rewards directly within Brex travel - Admins will be able to book and use their rewards points through Brex Travel instead of a separate Rewards Travel portal. Clicking Book Flights & Hotels via the Rewards tab will bring admins to a screen where they can enable Brex Travel or view existing Rewards trips. Learn more about it here.
- Unlock new travel insights in admin reports (Early Access) - Make admin insights more useful with new reporting metrics. Learn more about it here.
- Add new bookings to existing trips - Using the " Add booking to " dropdown menu, you can easily add new flight, hotel, car, or rail bookings to existing trips without incurring additional trip fees. Learn more about it here.
